How can I get absence explanations from parents?

Schools often like to sent SMS/Email absence notification to parents at a set time each day.

Some school like to do this manually and cross reference with staff or double check partials etc..  and that is fine.
To turn on Automatic Absence Notification:

  • Go to School Attendance > School Attendance  Setup > Automatic Absences Notifications  
  • Use the toggle button to Enable Automatic Absence Notifications.

  • Create the rules that apply to your school setting by clicking on Add Rule button


  • Decide which day you wish to generate the absences notification for 
  • Select the Message Type (SMS/Email)
  • If you selected SMS, select the template you wish to send.
  • If you selected Email, select the template you wish to send.
  • Select the absences reason this notification will apply too 
  • Absence type refers to (whole or partial)
  • Which year groups does this apply too?
  • Select enabled for this notification to be set as a rule 
Schools can also do this adhoc on a daily basis and not create rules simply by goign to Messaging > Send Absences Notifications. 

Note: 
If you have recently enabled SMS/Email to chase parents/carers for absences explanations, we recommend doing the process manually for the first couple of weeks, so you can fine tune it and get a sense of the accuracy of the contact details.

While SMS is the most efficient method out of the 2, we recommend exploring the Parent Portal which has an 'absence explanation' functionality as well.
