How do I approve a refund?

Refund request transactions will appear in the Refunds Register and can be viewed, approved or rejected by authorised users. Without authorisation, refunds will not be processed and funds not returned to the parent/carer.

To access the Refunds Register:
1. From the Finance module,
2. Select Registers and
3. Choose Refunds Register.
4. Using the filter options, select Status = Pending.
5. Select Filter. Transactions awaiting action will be shown.
6. Using the View button, review the details.
7. Approve the request. Once actioned, the Refund Status field will show Approved.
8. Select Process to communicate the refund request. The Refund Status will show as Processing. The status will update to Completed when actioned by the Department with the funds paid to the recipient.
Note: This payment may take a couple of days for the Department to action.
9. Once Completed, this transaction will appear in the Cancelled Receipts and Refunds Report when an End of Day Summary is created.

Important notes:
> EFTPOS request refund must be processed at terminal as well. EFT and Customer Payment platform refunds are processed on SAP
> All payments migrated from EBS can only be refunded via EFT.
> Credit notes (Fees in Advance) migrated from EBS can still be refunded using EFTPOS
