Bank Queries List on GL Account - Red dot troubleshooting
The Bank Queries List on GL Account report shows funds that have been received by the NSW DoE bank account along with transaction details that have been sent to SAP by Sentral Finance. When there’s a discrepancy between the transaction details provided by Sentral and the funds received by the bank account, the discrepancy is highlighted with a red dot in this report, hence the informal name of ‘red dot report’.
Discrepancies can occur for different reasons. For example:
- Sentral Finance has sent details of a transaction to SAP, but the bank account has not received the corresponding funds.
- The bank account has received funds, but SAP has not received corresponding transaction details from Sentral.
The nature of the discrepancy should guide the investigation.
In scenarios where Sentral Finance has sent the details of a payment transaction to SAP, but corresponding funds have not been received into the DoE bank account.
Checks to complete:
- Was the wrong payment method entered into Sentral?
- e.g. the funds received in the bank account are sitting under Cash in SAP but Sentral payment method for the transaction was EFTPOS - Was the incorrect date entered?
- Was the payment recorded twice?
- Were the funds banked on the Estimated Bank Deposit Date specified when entering the payment into Sentral?
- e.g. the DoE are looking at the funds received on 07/03/2024 because this is the estimated banking date specified the school would be banking the funds, but were actually banked on 08/03/2024
- In this scenario the Red Dot Report will eventually be cleared when the DoE bank account receives the funds. Other than ensuring the funds are banked, no other action is required.
With the scenario where the bank account received funds, but SAP did not receive corresponding transaction details from Sentral.
Checks to complete:
- Has the payment transaction failed to sync to SAP?
- Has the fee mapping synced successfully for the line item that was paid? Navigate to Setup Finance > Fee Mappings > filter Sync Status by Failed > select Filter and correct any fee errors listed.
- Was the correct Internal Order used for the fee? - Was the payment not recorded in Sentral at all?
