Import EBS4 Attendance Data into Sentral (NSWDOE)

NoteImporting attendance data requires Administrator level access to Sentral Attendance.

There are a couple of ways that you can import the absence tally data for Academic Report printing, which are described below.

1. Import Tallies into Reports
If you can obtain the tallies for students absences by accessing:
  • School Attendance > Reports > Absence Tallies
you can use our CSV Importer found under;
  •   Academic   Reports > Academic Reports Setup > Attendance
by manually compiling the student absences into the CSV format required.

A sample of data (with required headers) can be found below:

student_id,whole_day_explained_absences,whole_day_unexplained_absences,whole_day_exempt_absences,partial_explained_absences,partial_unexplained_absences,partial_exempt_absences,late_explained_absences,late_unexplained_absences,late_exempt_absences,out_of_uniform

  • Export data from EBS4
  • Import into Attendance
  • Import into Reports
Alternatively, you can export a report out of EBS4, import this into the Sentral Attendance module, which can then be imported into the Reporting Period.

The exported spreadsheet file in EBS4 is called the 'Absence Detail Report' and will contain a number of fields of data.

You will need to open the sheet in Excel and delete any columns which are not required, as per the following:

A Student Name
B SRN
C Roll Class
D Year
E Sex
F ATSI
G Absence Date
H Type
I Code
J Time for Partial Absences
K Partial/Late Time Value
L Day
M Explanation Received

Once your columns match the order above exactly, go to the File menu and Save as... into CSV format. Once you have done this, you can then import this data by navigating to:
  • School Attendance > School  Attendance Setup > Import Absences
  • Scroll down and click to Choose File and upload the modified CSV file you have created
  • Click Import to import into Attendance the EBS4 absence data.
